Eligibility and Content Guidelines

Eligibility

Submissions are welcome from:

  • Physicians
  • Allied health professionals
  • Medical and nursing students
  • Researchers in relevant fields

Content Criteria

All submissions must align with the core themes of the conference. Relevant areas include, but are not limited to:

  • Medical Education
    Example: A unique clinical case presentation that highlights key teaching points or learning value.
  • Healthcare Quality Improvement Projects
    Example: Initiatives focused on improving patient care, safety, workflows, or clinical outcomes.

Types of Abstract/Poster Submissions

  • Research Presentations
  • Clinical Vignettes / Unique Clinical Case Presentations

Important Notes

  • All posters must be original work.
  • Commercial promotion is prohibited. Sponsorship acknowledgment is allowed only in the acknowledgment section.
  • All participants are responsible for their transportation, printing, and setup.

Abstract Submission Guidelines

Research Abstract Requirements:

  • Abstracts must be submitted online in a Microsoft Word or PDF format.
  • The abstract should be no longer than 300 words.
  • Abstract must include the following sections:
    • Title: Concise and informative (Max 20 words).
    • Authors: Full names, affiliations, and email contacts.
    • Introduction: Brief background and rationale.
    • Objectives: Clearly defined goals of the study/project.
    • Methods: Outline of materials, procedures, and design.
    • Results: Key findings (numerical or descriptive).
    • Conclusion: Summarize findings and implications.

Clinical Vignette (Case Report) Abstract Requirements:

  • Maximum 300 words, submitted as a Word or PDF document.
  • Must include the following sections:
    • Title: A concise and descriptive title (max 20 words).
    • Authors: Full names, institutional affiliations, and email contacts.
    • Introduction: Brief description of the case's relevance and clinical importance.
    • Case Presentation:
      • Patient demographics (age, sex) – maintain anonymity.
      • History, clinical presentation, physical exam findings.
      • Laboratory/imaging results.
      • Treatment provided and clinical course.
    • Discussion: Key learning points, clinical relevance, and a review of the literature.
    • Conclusion: Summarize the clinical message or takeaway point.
  • Font: Times New Roman, size 12, 1.5-spaced.
  • Word Limit: 300 words (excluding title, author names, and references).
  • References: Limit to 5 references in standard Vancouver or AMA format.
Submission Deadline: July 31, 2025

Poster Design and Presentation

Poster Design Specifications

  • Poster Size:
    • Standard dimensions: 3 feet x 4 feet (36 inches x 48 inches) in landscape OR portrait orientation.
  • Poster Layout:
    • Title Section: Large, bold font (Font size: 36–48 pt). Include the title, authors, and institution logos if needed.
    • Headings: Use bold font (size: 24–28 pt) for sections like:
      • Introduction, Methods, Results, and Conclusion
      • Title, Authors, Introduction, Case Presentation, Discussion, and Conclusion.
    • Body Text: Minimum font size 16 pt, legible from a distance of 3–5 feet.
    • Figures/Tables: High-resolution images, clearly labeled with legends. Avoid overcrowding.
    • High-quality images (X-rays, histopathology, etc.) must be anonymized.
    • Color Scheme: Use professional, high-contrast colors for clarity. Avoid neon or overly bright tones.
    • Spacing: Leave enough white space to avoid clutter.

Poster Presentation Guidelines

  • Setup Time:
    • Posters must be set up in the designated area 1 hour prior to the start of the poster session.
  • Presentation Time:
    • Each presenter is required to be present during their assigned session to answer questions.
  • Poster Mounting:
    • Posters will be mounted on provided poster boards using pins/tape. All materials must be removed at the conclusion of the event (by November 5th, 5 pm).
  • Duration:
    • Each poster will be on display for from Nov 4th , 10 am till Nov 5th , 5 pm.
    • Presenters will have approximately 7 minutes to deliver their key findings to judges/attendees, and 2 additional minutes to answer any questions from the judges.

Judging Criteria

Research Posters will be evaluated on:

  • Content Quality: Clarity, scientific accuracy, and significance of the study/project.
  • Visual Appeal: Organization, layout, and design.
  • Presenter Engagement: Ability to explain the poster concisely and handle Q&A.

Clinical Vignette (Case Report) Posters will be evaluated on:

  • Originality: How unique and educational is the case?
  • Clinical Relevance: Does the case highlight a key learning point or rare condition?
  • Presentation: Clarity, logical flow, and visual appeal of the poster or oral presentation.
  • Quality of Discussion: Integration of clinical knowledge and literature review

Awards & Recognition

  • Certificates of participation will be provided to all presenters.
  • Best posters in each category will receive awards:
    • Clinical Research
    • Case Reports
